What a Rental Deposit Actually Is

A rental deposit is a refundable security hold — not a fee, not a charge, and not money we keep. When you pick up equipment, we place a temporary hold on your credit or debit card for a fixed amount. That hold covers us if the machine comes back damaged, filthy, missing parts, or not at all.

Here is the part most first-time renters misunderstand: a deposit hold is not the same as being charged. The money never leaves your account as a purchase. Your bank simply sets it aside while the gear is in your hands. When the equipment passes its return inspection, we release the hold, and your bank makes the funds available again — usually within one to two business days.

The optional damage waiver is a small fee — 10% of your equipment rental subtotal — that caps what you owe if the machine is accidentally damaged during normal use. With the waiver, your maximum out-of-pocket for accidental damage is typically limited to the deposit amount instead of the full repair or replacement cost.

It helps to think of the deposit and waiver as a pair: the deposit is your money, held temporarily and returned to you; the waiver is a non-refundable fee that limits your financial exposure. The deposit protects the shop; the waiver protects you.

How to Get Your Full Deposit Back

Nearly every deposit deduction falls into four avoidable categories:

  2. Return it complete. Count every nozzle, wand, and cord against the checkout sheet before leaving the jobsite. A lost nozzle is ~$12; a lost surface cleaner is ~$180.
  3. Return it on time. Late fees come straight out of the deposit. We allow a 30-minute grace period; after that, hourly charges apply. Extending before the deadline is always cheaper.
  4. Return it undamaged. Follow the manual and our walkthrough. Never run a pump without water or leave electric machines in the rain.

Is the deposit an actual charge on my card?

No. It is a temporary authorization hold, not a purchase. The funds are set aside by your bank while the hold is active, but we never capture the money unless there is damage, missing parts, or unpaid fees — and even then only for the documented amount.

How long until my deposit hold is released?

We release the hold the moment your equipment passes return inspection. Most banks free the funds within 1–2 business days; a few take up to five. If a hold lingers longer than a week, call your bank with the release date from your receipt.

Does the damage waiver cover theft?

No. The waiver covers accidental damage during normal use only. Theft and loss are the renter's responsibility at full replacement value. Store machines indoors or locked overnight, and never leave gear visible in an open truck bed.

What happens if I decline the waiver and something breaks?

You are responsible for the actual repair or replacement cost, deducted from your deposit first and billed beyond that if damage exceeds it. The waiver simply caps that exposure at a predictable level for 10% of the rental subtotal.

Can I put the deposit on a debit card?

Yes, but the hold reduces your available balance until released — make sure you have cushion for both the hold and the rental charge. Prepaid and gift cards are not accepted for deposits.
